FlowWash — Multi-Portal Service Operations Platform

Project Overview

Automate DXP designed and developed FlowWash, a custom multi-portal platform that centralizes the complete operation of a property-based mobile service business.

The system connects residents, property managers, field service teams, and administrators through dedicated role-based experiences. Each portal provides the tools and information relevant to that user while sharing data through one connected operational platform.

From subscriptions and service scheduling to workforce coordination, property performance, payments, tips, customer communication, and reporting, the platform brings the entire service lifecycle into one scalable system.

Key Challenges

The Client Situation

The client’s operations were distributed across multiple teams, properties, users, and disconnected processes.

Residents needed a simple way to manage subscriptions, vehicles, and scheduled services. Property managers needed visibility into participation and service performance at their locations. Field teams needed clear daily assignments and an efficient way to complete work. Administrators needed centralized control over customers, properties, plans, payments, and operational activity.

Without a connected platform, the client faced several challenges:

  • Limited visibility across properties and service teams
  • Manual coordination of daily service assignments
  • Disconnected resident, manager, and field-team communication
  • Difficulty managing subscriptions, vehicles, plans, and payments at scale
  • No unified source of operational and financial information
  • Repetitive administrative work across multiple tools

The business required one system that could support every user group without overwhelming them with irrelevant functionality.

What AutomateDXP Built

Automate DXP designed and built FlowWash – a custom platform consisting of four purpose-built portals, each tailored to a distinct user group. Every portal is deeply integrated with shared data, enabling real-time coordination across residents, property managers, field service teams, and administrators.

Admin Portal

The Admin Portal acts as the operational control center for the complete platform.

Administrators can manage:

  • Daily service assignments
  • Service schedules and completion statuses
  • Resident and property-manager communication
  • Leads and marketing campaigns
  • Operational analytics
  • Properties and related documents
  • Members, residents, vehicles, and field staff
  • Service plans, subscriptions, and optional extras
  • Payments, recurring revenue, and tips

The admin dashboard provides an immediate view of important business indicators, including recurring revenue, active subscriptions, monthly service volume, collected tips, upcoming service assignments, and recent platform activity.

Administrators can see which services remain unassigned, review customer and vehicle details, monitor work as it is completed, and coordinate daily operations from one place.

Resident Portal

The Resident Portal gives customers a clear and convenient way to manage their complete service experience.

Residents can:

  • Review their upcoming service schedule
  • Choose and manage a subscription plan
  • Add and manage covered vehicles
  • Schedule services
  • Purchase optional add-ons
  • Review billing information and payment history
  • View completed service history
  • Manage account and contact information

The dashboard presents the resident’s next scheduled service, assigned vehicle, service location, plan details, billing information, and vehicle coverage in one easy-to-understand view.

This reduces the need for residents to contact support for routine updates while giving them greater control over their subscriptions and services.

Property Manager Portal

The Property Manager Portal provides location-level visibility and tools for managing resident participation.

Property managers can:

  • Review active subscriptions at their property
  • Monitor monthly revenue and their calculated profit share
  • Track the number of completed services
  • View average resident ratings
  • Monitor estimated water savings
  • Review upcoming services
  • See subscription-plan distribution
  • Access resident records and property documents
  • Communicate through a centralized messaging area
  • Share resident signup links or property-specific QR codes

The portal helps property teams understand how the service is performing without exposing unnecessary system-wide administrative controls.

Washer Mobile App

A mobile-first portal was developed for washers and field service providers to manage their daily work efficiently.

Field team members can:

  • View the number of services assigned for the day
  • See queued and upcoming assignments
  • Access the service board
  • Review completed services
  • Track collected tips
  • View personal account information
  • Receive updated assignments without relying on separate messages or spreadsheets

The streamlined mobile interface keeps the focus on the current day’s workload, making it easier for service teams to move from one assignment to the next and keep job statuses updated.

The Result

The platform transformed disconnected workflows into a centralized, role-based operating system.

The client can now coordinate residents, properties, vehicles, subscriptions, field workers, service schedules, payments, and communications from one connected platform.

The practical results include:

  • Centralized multi-role operations
  • Streamlined daily service coordination
  • Clearer visibility into assignments and service progress
  • Easier subscription and resident management
  • Improved property-level performance reporting
  • Reduced reliance on spreadsheets and fragmented communication
  • Faster access to operational and financial information
  • A more convenient self-service experience for residents
  • A scalable foundation for supporting additional properties, users, and services

Rather than building a single dashboard for every user, Automate DXP created focused experiences for each role while maintaining one reliable source of information across the entire operation.
