As the Chief of Staff, you are the right hand to the President of the company. You will manage the books, drive project delivery, serve as an Executive Assistant, and nurture our team culture. We are looking for a “wearer of many hats” who finds satisfaction in ensuring nothing falls through the cracks.

Key Responsibilities

  • Financial Administration & Bookkeeping
    • Manage the invoicing lifecycle.
    • Generate employee time reports and ensure accurate, timely payroll processing.
    • Record bills, track expenses, and perform monthly bank reconciliations.
  • Executive Support & Coordination
    • Own the President’s calendar: schedule meetings and provide appointment reminders.
    • Attend meetings to take minutes, track action items, and ensure accountability across the team.
  • Project Management & Client Relations
    • Act as a bridge between the company and our clients, managing expectations and communication.
    • Take a hands-on approach to project work, ensuring tasks are completed on time and to our quality standards.
  • Team Operations & Recruitment
    • Support the team’s needs.
    • Assist with the hiring pipeline: screen resumes, assist with initial interviews, and manage onboarding for new team members.

Ideal Candidate Profile

  • Experience in an Operations, Project Management, or high-level Administrative role.
  • Highly organized and proactive, with a “high-agency” mindset. Proven ability to manage multiple workstreams with competing deadlines.
  • Proven Project Management skills, with the ability to lead client communications, track deadlines, and execute deliverables independently.
  • Expertise in Google Workspace (Docs, Sheets, Slides, Calendar) with the ability to manage complex scheduling and file organization.
  • Proficiency in Financial Administration, including experience with invoicing cycles, payroll processing, and basic bookkeeping (QuickBooks Online experience is a significant advantage).
  • Experience in Talent Operations, including resume screening, conducting interviews, and managing employee onboarding/training.
  • Excellent written and verbal communication skills, capable of maintaining a professional tone with high-value clients and internal stakeholders alike.
  • Bonus: Experience with automation workflows, CRM platforms, or no-code/low-code tools to help streamline internal operations.
